Step 1

Photograph and draw every elevation

Create one named elevation for each side and addition. Mark wall rectangles, gables, corners, material transitions, windows, doors, penetrations, decks, roof intersections, gutters, downspouts and grade clearances. Photograph stains, failed sealant, peeling coatings, loose cladding, damaged trim and visible water paths. Measurements without an elevation schedule make it difficult to know where a quoted quantity belongs or whether an opening was counted twice.

Record: Dated elevation set with dimensions, materials, openings, interfaces, defects and photo references.

Step 2

Separate field area from linear accessories

Calculate wall and gable field area independently from corners, starter, channels, trim, frieze, soffit, fascia and flashing. Measure window and door perimeters when the selected system requires lineal accessories. Record package coverage from the exact siding product rather than assuming that one square always equals a purchasable carton or that field waste covers accessory shortages.

Record: Net field square feet, purchase allowance, carton coverage and linear accessory schedule by elevation.

Step 3

Define every window installation method

Identify which openings are insert replacements, full-frame removals or retained windows receiving only trim and sealant work. Record frame and rough-opening conditions, safety-glass or egress questions, interior casing, exterior finish, sill condition and access. Full-frame work can expose wall drainage and sheathing in ways that materially change siding, flashing, painting and repair responsibilities.

Record: Window schedule with identifiers, dimensions, operation, installation method, finish limits and interface responsibility.

Step 4

Inspect the water-management path

Trace water from roof covering through edge flashing into gutters, then through outlets and downspouts to a lawful, stable discharge location. At walls, record how the water-resistive barrier, window flashing, penetrations and cladding clearances are intended to drain. A bead of sealant is not a substitute for a coordinated drainage detail, and calculator quantities cannot verify hidden continuity.

Record: Roof-edge, opening and wall-drainage details with downspout routes, discharge locations and unresolved conditions.

Step 5

Create a preparation and repair standard

Describe cleaning, coating removal, scraping, sanding, substrate repair, priming, caulking, sheathing repair, rot limits, pest findings and hazardous-material procedures. State which work is included, unit-priced, carried as an allowance or excluded. Painting and cladding bids can look comparable while assuming completely different existing conditions, preparation levels and repair quantities.

Record: Written preparation specification, repair allowances, unit rates, testing plan and stop-work thresholds.

Step 6

Measure access and protection separately

Document stories, roof slopes, setbacks, overhead lines, landscaping, adjacent property, decks, pools, fragile paving and space for lifts, scaffolds, debris containers or material staging. Decide who protects and restores each area. Access may be a project-level cost rather than a square-foot rate, so preserve it as an explicit line instead of multiplying every surface by an unexplained premium.

Record: Access plan, equipment assumptions, protection limits, staging areas and restoration responsibility.

Step 7

Build one interface responsibility matrix

For every window, roof edge, penetration, material transition and downspout connection, name the contractor responsible for removal, temporary weather protection, substrate approval, flashing, installation, finish, testing and warranty. Confirm the sequence. When trades overlap, a low bid may exclude the exact joint where future leakage would appear, leaving neither contractor accountable.

Pricing each trade from a different sketch

Siding, window, painting and gutter quantities can overlap or leave gaps when contractors do not share elevation names, openings and interface limits.

Prevent it: Issue one coordinated elevation set and require every proposal to reference the same identifiers and scope boundaries.

Applying waste to every cost component

Field siding cut allowance can be useful for purchased material but may overstate measured-area labor, removal and project-level fees.

Prevent it: Apply allowance only to the component that actually incurs it and follow each written quote’s billing quantity.

Treating window count as equivalent scope

Insert and full-frame replacements can have different flashing exposure, trim, wall repair, lead-safe work and finish requirements even at similar sizes.

Prevent it: Group only openings with matching products and methods, and schedule unusual units separately.

Sealing over an unresolved drainage problem

New caulk, coating or cladding can conceal staining while roof, opening or wall water paths continue to wet the assembly.

Prevent it: Trace and correct the source, establish drainage continuity and inspect concealed conditions before closing the wall.

Ending downspouts at the foundation

A complete-looking gutter replacement can concentrate roof water beside vulnerable walls, walks or neighboring property when discharge is not part of the plan.

Prevent it: Route each outlet to a lawful, stable location and price extensions or drainage connections as explicit scope.
